Manager - Facilities Management

ROLES AND RESPONSIBILITIES

Reporting to the Deputy Director – Facilities Management, the Manager - Facilities Management is based in the Hai Phong NDV office and other locations within company subsidiaries.

 

Site Operations & Maintenance

  • Oversee daily operations across multiple warehouse and factory sites to ensure all facilities are operated in accordance with company standards and client expectations.
  • Manage and supervise outsourced vendors providing technicians, cleaning, and security services; ensure performance meets contractual KPIs and operational standards.
  • Create detailed operating procedures, including maintenance schedules, emergency response plans, cleaning protocols, and system user manuals.
  • Conduct weekly site inspections or ad-hoc checks as needed to resolve issues arising from daily operations.
  • Identify and resolve technical defects or on-site issues in a timely and cost-effective manner.
  • Represent the company in liaising with government authorities on case-by-case and annual matters related to facility operations, compliance, and infrastructure.

Contract & Compliance Management

  • Support the negotiation and ongoing administration of Operations and Maintenance (O&M) contracts.
  • Enforce all internal and client-specific policies, procedures, and site rules among contractors and staff.
  • Ensure compliance with all local regulations related to industrial property maintenance, fire safety, and environmental standards.

Tenants & Authority Relations

  • Act as the main point of contact for tenants regarding facility-related issues.
  • Work collaboratively with local authorities, service subcontractors, and consultants to ensure service continuity and compliance.
  • Support tenants with defect resolution, fit-out coordination, renovation activities and project handover.

Internal Collaboration & Enhancements

  • Coordinate closely with the Asset Management team to support cost-saving initiatives and asset enhancement projects.
  • Collaborate with the Customer Service and Leasing teams to resolve tenant complaints and manage service expectations.
  • Provide technical input and support for new project launches, handover, and warranty management.

REQUIREMENTS

  • Bachelor‘s degree in Mechanical or Electrical Engineering.
  • Good English communication skills, both oral and written.
  • Proficient in MS Office and AutoCAD.
  • At least 7 years of experience in technical fields of equipment operation/maintenance and exposure to projects.
  • Experience working in or with a Facilities Management team.
  • High ethical standards, with exposure to facilities operation and maintenance.
  • Strong common sense, able to easily identify priorities and stay flexible to changes.
  • Customer-oriented behavior, familiar with general factory operations and major equipment and systems such as HVAC, basic electrical systems, instrumentation and controls.
  • Strong leadership and analytical capability, applying sound judgment for decision-making, with excellent root cause analysis and presentation skills.
